last thoughts prior to your exhibition opening

think of this as a check list the weeks leading up to your exhibition

4-6 weeks prior 

  1. Continual work on your oral defense and preliminary run throughs - many of them!
  2. Order postcards and business cards, self published books* > See my page on these separate items


3 weeks prior
Distribute the following information to the Communications Offices

  1. Distribute your name
  2. Your program (BFA Candidate in XX)
  3. Name of your exhibition, dates of exhibition, date and time of reception
  4. Oral defense date and time
  5. One jpg image at 200 dpi, details of image to the Communications Offices of Cazenovia College for press releases and media advances

2 weeks prior

  1. Distribute postcards 2 weeks in advance of your exhibition opening
  2. Distribute hard copy of your Capstones to Committee members, email your Professional Contact send Capstone and remind them of dates
  3. Compose personal letters (hand written or typed) to Interim Acting President Marge Pinet and VP of Academic Affairs Dr. Sharon Dettmer. Include your postcard and business card, bio/statement
  4. Organize and complete gallery book including: your bio, your statement, your cv / resume, postcard front and back, images of older works you wish to include, earlier publicity, information and URL of your self-published exhibition catalogue in plastic protective sleeves and your Capstone research paper
  5. Create a sign that clearly directs your audience to your Self-Publishing website to obtain and purchase your book via the internet
  6. A Guest book stating name - email address - comments > this is an excellent way to collect individuals for your future exhibition announcements and email blasts of your activities! PENS
  7. If you are selling any work at your exhibition, direct your audience to how they will purchase your work in your absence > clearly state they are able to purchase XX for XX and Contact the address @ website / email address / cell #                                                                                     
  8. Order letterset for wall title (I suggest middle gray)
  9. Create Gallery Check List * > See my page on this separate item 
  10. Contact Corky Goss for assistance with exhibition lighting
  11. Contact Jen Pepper with desire for the video taping of your oral defense
  12. Locate a small table to place within your exhibition area to hold all your textual info
  13. Locate a flower vase for your hopeful congratulatory gifts!
  14. Organize your refreshments for reception - you may share with others - you need to organize it: the items, their quantity, the distributor, their cost
  15. Locate a table cloth for your reception's refreshments
  16. Create a work release for the gallery and submit to the director
  17. Organize your hardware
  18. Distribute any non-campus individual names to Pepper who might be assisting you in your installation

  1. You have worked four long years for this, so dress up, have fun, enjoy yourself!
  2. Make sure you have an individual there to be your photographer capturing images of you with your guests
  3. smile, smile, smile
  4. Direct your guests to sign the guest book, pick up your bio / statement and take aways
  5. If you are selling work, make sure you have an individual working to these ends too; providing your guests with a check list that states the prices clearly, collects $ or checks
  6. Following, r e l a x   &  s l e e p
exhibition dates
  1. Take in-situ shots of your installation including long shots of overall views from a number of advantage points, include floor in a number, ceiling if appropriate, details of installations
  2. Take individual shots, small groups of the work, your gallery table - these shots should have no one in them (or possibly one if scale is appropriate to determine)
post exhibition
  1. Drafting and re-drafting of your 2 page Addendum
  2. Reorganizing your Capstone Research Table of Contents and pagination
  3. Any last details your Committee Members advise for you to include in your Capstone Research paper
